A WD My Passport asking to be formatted usually still has its data. In this WD My Passport asking to be formatted data recovery case study, one of four read heads had grown weak and could not reach the file system. We imaged with the three good heads, fitted matched donor heads and recovered over 700GB, 99.9 percent cloned.
Case study summary
Client: Steph, Western Australia
Device: Western Digital My Passport, 2.5-inch portable hard drive, used for years as her main backup
Problem: The drive stopped registering on her laptop, and when it did show up, the computer insisted it needed to be formatted. Several other devices gave the same result
What we found: A head map test on the PC-3000 showed four read heads. Three were performing perfectly. The fourth was extremely weak, and the file system information sat in an area only that head could reach
What we did: Stage one imaged the drive with the three good heads. Stage two replaced the damaged head assembly with matched donor heads in our ISO 5 laminar flow cabinet, then filled in the data only the fourth head could reach
Result: More than 700GB recovered, the drive 99.9 percent cloned, and the Backups folder recovered in full with no damaged files
Turnaround: 2 days from start to finish
Cost: Confirmed in the free written quote. Head replacement work like this carries an attempt fee that forms part of the total price, stated in the quote before anything is approved
Service: Hard drive data recovery

Years of Backups on One Portable Drive
Steph, from Western Australia, had used a Western Digital My Passport as her main backup for years. It is a 2.5-inch portable hard drive, the small USB kind that lives in a laptop bag or a desk drawer.
Then it stopped registering on her laptop. When it did show up, the computer insisted the drive needed to be formatted. She tried it on several different devices. None of them could open it.
The one folder she needed most was simply called Backups. It held everything important to her.
The My Passport is one of the most common drives that comes through our doors. Western Digital was founded in 1970 building computer chips and electronics and only entered the hard drive business in the late 1980s, according to Western Digital’s history. Today it is one of the largest storage brands in the world, which is why so many of its portable drives end up on our bench.
Why Does My WD My Passport Say It Needs to Be Formatted?
A format prompt sounds like the data is gone. Usually it is not. It means the computer cannot read the information that describes where the files are, so it treats the drive as blank.
On Steph’s drive, the cause was physical. When the data recovery engineer connected it to the PC-3000, the drive powered up normally. A full head map test told the real story. This My Passport has four read heads. Three were performing perfectly. The fourth was extremely weak.
That single failing head explained everything Steph had seen. The file system information her computer needs to read the drive sat in an area only that weak head could reach. So her laptop kept reporting the drive as unformatted, when the data was actually still there.
Accepting that format prompt would have written a new, empty file system over the old one. Running recovery software would have pushed the weak head harder. Neither happened, which mattered.
The WD My Passport Data Recovery Process: Two Stages
The data recovery engineer’s plan was a two-stage recovery.

Stage one was to image the drive using only the three good heads. That pulled across as much data as possible straight away, while the drive was still cooperating, without asking anything of the head that was failing.
Stage two needed parts. We hold over 30,000 donor parts in-house, including around 20,000 donor hard drives, so a matched donor for this My Passport was ready straight away.

In our ISO 5 laminar flow cabinet, the data recovery engineer replaced the damaged head assembly with the donor heads. He then went back over the drive to fill in the data that only the fourth head could reach. Combining the first image from the good heads with the data recovered after the head swap gave a near complete copy of the drive.
WD My Passport Data Recovery Results
The whole job took 2 days from start to finish. More than 700GB came back, with the drive 99.9 percent cloned.

The Backups folder Steph was worried about was recovered in full, with no damaged files.
She received a detailed file listing and a short video screen recording of her data as a preview, with a secure link to pay online. After payment, the recovered data shipped back to her on a new drive by Australia Post Express at no extra charge.
Can a Hard Drive With a Failing Head Still Be Recovered?
Often, yes, and this case shows why the order of work matters. A weak head does not fail all at once. Every hour the drive spins, it can get worse. Imaging first with the healthy heads secured most of the data before any physical work began, so the head swap only had to supply what was missing.
Based on thousands of drives with damaged heads, we estimate an 80 percent chance of success. In 8 out of 10 cases the platters are undamaged or have minor damage we can work around. In 2 out of 10 we discover severe platter damage after opening. We will try our very best for you. There is never any guarantee with data recovery, but coming to us gives you the best possible chance.
If your drive suddenly asks to be formatted, stop using it. Do not click format, do not run recovery software, and do not keep plugging it in to test it. Send it in for a free assessment and quote.

Hard Drive Data Recovery Pricing and Services
Every hard drive case starts with a free assessment and a written quote. We examine the drive, then email you the problem we found, how we can help, the cost and the time involved, for your approval before any chargeable work. Nothing is charged until you say yes.
The price depends on what we find, and we confirm the exact price in your quote. A drive with damaged heads that needs a head replacement from a donor, like this one, carries an attempt fee that forms part of the total price: you pay it to begin, and if we are successful, you pay the remaining balance. Current prices are on our hard drive data recovery page. Priority and Emergency service levels are also available for faster turnaround.
If you need an answer quickly, an urgent assessment with a written quote within 1 to 2 hours is available for a fee. We can supply a destination drive, or you can send your own. Return delivery is free on every completed and paid job.
Frequently Asked Questions
My WD My Passport says it needs to be formatted. Is my data gone?
Usually not. The prompt means the computer cannot read the file system, the information describing where your files are. In this case a weak read head could not reach that area, while the data itself was intact. Do not click format, because that writes a new, empty file system over the old one.
Should I try data recovery software first?
Not when a drive has a physical fault. Software cannot fix a weak or failing head, and every scan makes the drive work harder, which can turn a weak head into a dead one and damage the platters. Stop using the drive and have it assessed. The assessment and written quote are free.
What is a head swap and why was it needed?
The read heads float just above the platters and read the data. When one fails, it is replaced with a matched head assembly from a donor drive, fitted in a dust free laminar flow cabinet. Here, three heads were healthy, so we imaged with those first and used the donor heads for the rest.
Do you have donor parts for my drive?
We hold more than 20,000 donor parts in-house. For common drives like the WD My Passport, a matched donor is usually ready straight away, so there is no wait for parts to arrive. Rarer models are confirmed in your written quote.
Is it no fix, no fee?
Yes. The assessment and quote are free, and for most faults there is nothing to pay unless we recover your data. See your files before you pay. You tell us which files matter most. Before you pay for the recovery, we’ll send you a list of your recovered files so you can check them. If any of the files you listed are missing, tell us and we’ll search again. The one exception is cleanroom and other high risk work, where part of the quoted price is a non-refundable attempt fee paid upfront so we can begin. That covers the data recovery engineer time and donor parts we commit whatever the outcome. If an attempt fee applies to your job, it will be stated clearly in your quote before you approve anything.
How do I know what you recovered before I pay?
You receive a detailed file listing and a short video screen recording of your recovered data before paying. Steph could see her Backups folder was complete before she paid through a secure online link. The data was then sent back on a new drive by Australia Post Express at no extra charge.
I am not in Sydney. Can I still send my drive?
Yes. Steph is in Western Australia. We help people all around Australia, and you can post your drive or drop it at one of our offices. Pack it in a box with plenty of bubble wrap and send it with tracking. Recovered data comes back to you free of charge.
I am overseas. Can you help?
Yes. International customers are always welcome. The easiest way to reach us from overseas is by email at help@payam.com.au, which works in every time zone. Request a free quote first, then send the drive by tracked courier once the indicative pricing suits you.

Hey, Mike here, back at Payam Data Recovery in Sydney, Australia. This morning, I sat down with one of their engineers as he worked through a tricky case that had just come in to Payam’s lab. The customer, Steph from Western Australia, had been using a Western Digital My Passport, a 2.5-inch portable drive, as her main backup for years of files. It had stopped registering on her laptop, and when it did show up, the computer insisted the drive needed to be formatted. She tried it on several different devices, but with no luck. The one folder she needed most was simply called Backups, and it held everything important to her.
Here is a piece of history most people don’t know. Western Digital didn’t start out making hard drives at all. The company was founded in 1970 building computer chips and electronics. But it didn’t enter the hard drive business until the late 1980s. Today, it is one of the largest storage brands in the world, and portable drives like this My Passport are one of the most common units that come through the doors at Payam Data Recovery.
When the engineer connected the drive to the PC-3000, it powered up, but a full head map test told the real story. This Western Digital had four read heads inside. Three were performing perfectly. The fourth was extremely weak. That single failing head explained everything Steph had seen. The file system information her computer needs to read the drive sat in an area only that weak head could reach, which is exactly why her laptop kept reporting the drive as unformatted when the data was actually still there.
The engineer’s plan was a two-stage recovery. First, image the drive using the three good heads, pulling across as much data as possible straight away while the drive was still cooperating. Then came stage two, and this is where Payam’s resources really count. Finding the right donor parts can take other companies days or even weeks. Payam Data Recovery holds over 30,000 donor parts, including around 20,000 donor hard drives, so a matched donor was ready straight away. Inside the clean room, the engineer replaced the damaged head assembly with the donor heads, then went back over the drive to fill in the data that only the fourth head could reach.
By combining the first image from the good heads with the data recovered after the head swap, the result was excellent. More than 700 gigabytes came back, with the drive 99.9% cloned. The Backups folder Steph was worried about was recovered in full with no damaged files. Steph received a detailed file listing, a short video screen recording as a preview, and a secure link to pay online. After payment, it ships back on the new drive by Australia Post Express at no extra charge.
